Usage Plans
Schedule drivers and vehicles, manage shifts, and track mileage for work packages.
A usage plan is a working schedule attached to a work package. It lets you define shift patterns, assign drivers and vehicles, track mileage, and report on progress. Use this section to learn every part of the usage plan workflow.
What a Usage Plan Contains
Overview
At-a-glance plan status showing mileage progress, key metrics, and today's schedule.
Targets and Progress
Mileage targets, accumulated progress from log entries, and how to structure targets across plans and locations.
Shift Templates
Configurable shift patterns (1x, 2x, 3x per day) with labels, times, and colours.
Resources
Selected vehicles and drivers that participate in the plan.
Schedule
Generated shifts across a date range, with manual and auto-assignment of drivers.
Log Entries
Mileage and activity records captured as shifts are completed.
Before You Start
- The usage plan must have at least one vehicle selected in Resources.
- Your project must have users with the Test Driver ability available. If the parent work package has access control restrictions, only test drivers with access to that work package appear in the driver pool.
- You need usage plan edit permissions to make changes.
- Usage plans inherit access rules from their parent work package. If the work package is restricted to specific teams or users, only those teams and users can view the usage plan.
Recommended Workflow
Configure Shift Templates
Set up your shift presets (labels, times, colours, icons) in Plan Settings before generating shifts.
Set a Mileage Target
In Plan Settings, enter the target KMs and end date so Fleetwise can track progress as mileage is logged. See Targets and Progress.
Select Resources
Add the vehicles and drivers that will participate in this plan under the Resources tab.
Generate and Assign Shifts
Open the Schedule tab, generate open shifts for a date range, then assign drivers manually or with Auto Assign.
Review and Publish
Use Review Changes to inspect and publish all pending edits.
Log Mileage
Record mileage entries in the Logs tab as shifts are completed.
Monitor Progress
Use the Report tab to track mileage against targets.
